MANAGEMENT TRICORD:
The management apostolate is responsible for ensuring the proper administration of the community’s personnel and communication among all the members of the DIP or PG community. It also handles the material and financial resources of the community. It also makes sure that all these functions are in compliance with BLD’s existing policies and guidelines.
The Management Tricord consists of the following:
1) Secretariat – Duty of Management Tricord
Secretariat, being one of the ministries of Management Apostolate, handles all matters involving communication, information and technology. Although support in nature, the scope of its duties and responsibilities span all apostolates/ministries, including other BLD districts, and all levels of leadership/membership. The Secretariat oversees the administration of personnel, information dissemination and material resources of the Community, in accordance with the policies and instructions as mandated by the Toronto District Council Steward (DCS).
Being the custodian of all data related to the operations of the Community, the ministry prepares appointment letters, updates and tracks records of all community members, maintains event calendars, books venues, coordinates special projects and prepares reports based on the above.
Its method of achieving communication is varied utilizing whatever means is effective whether spoken, written and/or electronic. It is also actively exploring new ways such as group emails, web technologies and online booking/calendaring to make communication and coordination even better.
Improvements are also being sought in related areas. Procedures, techniques and templates on community projects were documented and turned-over to classes/groups vested with the tasks thereby adopting best practices and avoiding pitfalls/failures. The BLD event calendar was streamlined to allow each apostolate/ministry the freedom to update its own calendar but also providing for automatic consolidation on the community-wide basis.
Secretariat is truly an exciting ministry to be in. Members of the ministry can get acquainted and interact with everyone in the Toronto District as well as those of other districts. Apart from the wide variety of tasks that are presently being handled, a few new areas are being explored that show tremendous potential in benefitting the community. The challenges are countless and the tasks many, but all of these will be overcome since the Lord Jesus has put these to bear on us. “Many, O Lord my God, are the wonders which Thou hast done, And Thy thoughts toward us; There is none to compare with Thee; If I would declare and speak of them, they would be too numerous to count.” Psalm 40: 5.and guidelines.
2) Service Ministry Coordinator
The Service Ministry, headed by a Service Coordinator, is the first stage in a member’s discipleship training, primarily to inculcate the virtue of humility and the dignity of manual service to others.
The Service Ministry provides manpower support during training sessions for the Service Ministry and other training sessions when requested by the Teaching Ministry as approved by the Management Tricord.
1. Ensures manpower services and other necessary support to the Community activities including its Life in the Spirit Seminar, Community/Corporate Prayer Meetings and Eucharistic Celebrations, Community Assemblies; District Disciples Retreats and Recollections.
2. Ensures manpower services during training sessions when requested by the Teaching Ministry and approved by the Management Tricord.
3. Provides manpower services and other support to Archdiocesan activities such as CCRC meetings, rallies and other similar activities.
3) Treasury Ministry Coordinator The Treasury ministry is responsible for managing the finances of the Rochester community and maintaining accurate financial records in conformity with generally accepted accounting principles.
Report to the Tricord and members an accurate financial report of the community, keeping up-to-date records of all financial transactions, financial planning including budgeting and ensuring that the funds are spent properly and prepare and submit financial reports to the Tricord.
